These are the terms for using EquiPOS, in plain words. By installing and using EquiPOS you agree to them. How we handle information is on the Privacy page.

What EquiPOS is

EquiPOS is point-of-sale and stock software for Windows, made for shops, wholesalers, pharmacies and drug shops.

Pharmacy mode, which you switch on under Settings, Company, adds the records a pharmacy keeps:

• a batch number and expiry date for each delivery of a medicine; the till sells the earliest expiry first and will not sell expired stock;
• generic name, strength and form on each medicine, and whether it is over the counter, prescription only or controlled;
• a prescription taken at the till for prescription-only and controlled medicines, with the patient, who prescribed it and the directions;
• a printable controlled-drug register and prescription register.

These help you keep your records in order. They are not a licence or a certification, and we do not promise that they meet the requirements of the National Drug Authority or any other regulator. EquiPOS does not report to the National Drug Authority, is not linked to URA EFRIS, and gives no medical, dosage or drug-interaction advice.

You stay responsible for your licences, your tax and your professional duties, for the judgement of your pharmacist in dispensing, and for checking that what you record is correct.

Plans and prices

Pro is the plan on sale today. It includes everything in EquiPOS: sales, stock, purchases and expenses, customers and suppliers, reports and profit, label printing, staff and payroll, text messages to customers, backups and updates. It covers:

• one business location, with up to 3 computers working on the same records;
• up to 3 users (staff who sign in to the system), the owner included;
• unlimited products and sales.

The 3 computers are one main computer, which keeps the shop’s records and its plan, and up to two others that connect to it over the shop’s own network. The others can only sell while the main computer is switched on and EquiPOS is open on it. Each user signs in with their own login.

You pay for the time you use. Prices are in Uganda shillings:

• 1 month: UGX 80,000
• 3 months: UGX 210,000
• 12 months: UGX 720,000

Premium is coming soon. It is planned to add unlimited users. Its price will be announced when it is ready, and you will be able to move up from Pro.

Free trial. Every computer can have 14 days free, with everything in Pro, once. It is asked for when you finish setting up, which needs the internet, and EquiPOS approves each new computer before the 14 days start, counting from the approval. Each computer has one: reinstalling does not start another. If you choose a plan during the trial, it starts after the trial ends, so you lose none of the free days. When the trial ends, EquiPOS locks until a plan is chosen; nothing you entered is lost.

If you renew before your plan ends, the days you have left are kept and the new plan starts after them. We may change prices; a change applies to plans bought after we announce it, never to a plan you have already paid for.

How you pay

Send the amount by mobile money to 0780 900 895, then enter the sender's phone number and the transaction ID in the app. We check the payment and activate your plan. This is done by a person, so it is not instant. A payment that turns out to be fake or reversed is not a payment.

No refunds

A payment buys time that we activate straight away, so payments are not refunded. You can stop at any time by not renewing.

Your licence and users

A licence is for one business location. In it you can use up to 3 computers: the main computer, and up to two others connected to it. All of them show the same stock, sales and customers. Another branch needs its own licence and keeps its own records. Branches can be linked under Settings > Branches so the owner sees every branch’s daily figures and stock in one place; that link is read-only, and unlinking deletes what the branch sent us. The same figures can be opened on the owner’s phone with the owner password; that is also read-only, it shows what each branch last sent (not live), and it needs the branches to be linked, switched on and online. Every computer must run the same version of EquiPOS.

On Pro, up to 3 users can have an active login at the same time. A staff member you deactivate does not count, so you can swap people in and out. If your shop already had more than 3 logins before this limit, they keep working, but you cannot add or reactivate anyone until you are below 3.

A licence cannot be moved by yourself; if you replace the computer, contact us and we will see what we can do. We may block a licence that is copied, used on computers it was not bought for, or paid for with fake or reversed payments.

If your plan ends

• Receipts stop printing when the plan ends.
• You then have 3 days of grace to renew.
• After that, EquiPOS stops accepting new sales and changes. You can still look at your records, print reports and make a backup.

Your records stay on your computer. When you renew, everything carries on where it stopped. Please renew before your plan ends so your till is never stopped during the day.

Text messages (SMS)

Daily reports and customer texts are paid from a prepaid SMS balance, separate from your plan. The price is currently UGX 35 per SMS, and the smallest top-up is UGX 2,000. Each computer starts with 20 free messages. SMS balance is not refunded.

Your data

• Your shop's records are yours. We do not sell them or use them for anything else.
• They are kept on your computer. EquiPOS also copies them to a backup folder on the same computer every minute, which helps with mistakes.
• We keep an online backup of your shop. It is made automatically and encrypted on your computer before it is sent, so your records can be brought back if the computer is lost, stolen or breaks. We keep your latest 5 copies, up to 25 MB each. Only your shop can restore it, with your admin login or a one-time code from us.
• The app checks in with our server from time to time with your shop's name, the app version and your plan. See the Privacy page.
• To have what we hold about you deleted, email info@equipos.site.

Updates and support

Updates are free. EquiPOS downloads them by itself and installs them when you next close it or choose to restart. Support is by WhatsApp or phone on 0780 900 895 and by email at info@equipos.site. We will help as quickly as we can, but we do not promise set hours or reply times.

What we do not promise

• EquiPOS selling, stock and reports work without internet. Plan activation, updates, online backup and text messages need internet, and we cannot promise that our server or the mobile money, SMS or email services will always be available.
• We cannot promise that data will never be lost. Keep your own backups.
• EquiPOS is provided as it is. To the extent the law allows, we are not liable for lost sales, lost profit or other indirect loss from using it or from it being unavailable, and our liability for anything else is limited to what you paid for your current plan.

Changes and law

We may update these terms. The date at the top shows the latest version, and a change applies to your next renewal. These terms are governed by the laws of Uganda.
